Registration Fees

Pre-registration closes on 20 September 2010 or when 1,200 registrations are reached, whichever occurs first.

Conference registration fee includes admission to the conference, conference program book, abstract book, and meals as outlined in the conference agenda. Fee also allows access to Satellite meetings held on 28 September 2010. The conference registration fee does not include airfare, hotel, or other costs.

The opening session registration fee includes admission to the satellite meetings, the conference opening session and welcome reception on 28 September 2010 only. It does not include admission to the remainder of the conference, the conference program book, or abstract book. Registration is not required to attend a satellite session only.

Method of Payment

Full payment in US dollars is required to complete registration. Payment made by check must be issued by a bank with branches located in the United States. Visa, MasterCard, and American Express credit cards are accepted. Please note the vendor on your credit card statement will be listed as Conference Solutions.

Only non-U.S. institutions may request to pay by direct bank transfer. An additional fee is charged for this service. For instructions, print the registration form using the link below.

Cancellations received by 27 August 2010 will be refunded less a $100 administrative fee. No refunds will be given for cancellations received after 27 August 2010.

If for any reason the Conference should be cancelled, AIDS Vaccine 2010 will refund the registration fee. The Conference is not responsible for the refund of airfare, hotel, or other costs.

Substitution Policy

If you are unable to attend the Conference, you can transfer your registration to another person by notifying AIDS Vaccine 2010 c/o Conference Solutions in writing by email, fax or mail. The following rule of access to the Conference applies to all Conference attendees, including substitute attendees:

Participation in the Conference is limited to those actively interested in HIV vaccine-related research, either at the academic, governmental, private sector or community level. The Organizing Committee of AIDS Vaccine 2010 reserves the right to refuse the registration of anyone not meeting this requirement.

Liability

With paid registration, the participant acknowledges that he/she has no right to lodge claims against the Conference Organizers should the program be altered, hindered, or prevented by unexpected political or economic events, forces of nature, speaker cancellations or other unforeseeable events.

Visa Information

Depending on the country that issued your passport, the country in which you reside, and your travel status, you may also need a visa and certain inoculations to enter the United States.  Please refer to the following websites for document, inoculation requirements and contact information: http://travel.state.gov  http://www.usembassy.gov   http://www.cdc.gov

In addition, a “transit visa” may be required if you are making an airline connection before entering the United States.  It is your responsibility to contact the embassies or consulates of any countries you will be transiting to determine if a transit visa or inoculations are required for that country. 

Visa applications are subject to a greater degree of scrutiny than in the past.  Therefore, it is important to apply very early.  The US State Department advises that some applications may take more than two months to process.

 Failure to have all required documentation will result in your being denied boarding of your flight.

Letter of Invitation

Persons who have registered to attend the Conference may request a letter of invitation for use in visa applications. Email a request to Register@ConferenceSolutionsInc.com and include the following information: Name, Date of Birth, Passport Number, and Nationality. Information on U.S. visa requirements and visa application can be found on the website at http://travel.state.gov/visa.

Badges

Conference identification badges are mandatory and will be required for admission to all Conference functions.

Certificate of Attendance

A removable certificate of attendance will be available in each abstract book.

Accompanying Persons Program

Guest tickets for the banquet at the Georgia Aquarium are available for purchase for $100.00. Guest tickets must be purchased in advance at the time of Conference registration.

Registration

Pre-registration closes on 20 September 2010 or when 1200 participants have registered. Subsequent registrations will be handled onsite in Atlanta, Georgia on a space-available basis.
