Onsite registration is available!  Please stop by the registration desk in the Boston Convention and Exhibition Center starting at 13:00 on Sunday, 9 September. 

 

Thank you for your interest in AIDS Vaccine 2012.  The conference offers various registration types and rates.  Be sure to register early.  Pre-registration closes on Friday, 31 August 2012 or when 1,100 registrations are reached, whichever occurs first.

To receive the student/post doc delegate rate, you must be at least 18 years old and present proof of full time enrollment at a recognized university or college at the time of registration and during the conference. Student identification must be available at all times during the conference.

Available for individuals who wish to attend the Opening Session and Welcome Reception on 9 September 2012 only. Program and abstract books are not included. 

By registering for the conference, you will receive the following:

  • Conference admission, including all sessions, satellites and special events;
  • Abstract and program books;
  • Meals, as outlined in the program. 

The conference registration fee does not cover airfare, hotel, or other costs.

Method of Payment

Full payment in US dollars is required at the time of registration. Visa, MasterCard, and American Express credit cards are accepted. Conference Solutions will be listed as the vendor on your credit card statement.

Cancellations must be sent in writing by email, fax, or mail to AIDS Vaccine 2012 c/o Conference Solutions.

Cancellations received by 17 August 2012 will be refunded less a $100 administrative fee. No refunds will be given for cancellations received after 17 August 2012.

If for any reason the conference should be cancelled, AIDS Vaccine 2012 will refund the registration fee. The conference is not responsible for the refund of airfare, hotel, or other costs.

Substitution Policy

If you are unable to attend AIDS Vaccine 2012, payment of a $50 administrative fee enables you to transfer your registration to another person by notifying AIDS Vaccine 2012 c/o Conference Solutions in writing by email, fax, or mail.  Substitutions will be transferred at the same rate as the original registration.  Substitutions can be made up until the pre-registration deadline, or at the onsite registration desk. The following rule of access to the Conference applies to all Conference attendees, including substitute attendees:

Participation in the conference is limited to those actively interested in HIV vaccine-related research, either at the academic, governmental, private sector, or community level. The organizing committee of AIDS Vaccine 2012 reserves the right to refuse registration to anyone who does not meet this requirement.

Liability

With paid registration, the participant acknowledges that he/she has no right to lodge claims against the conference organizers should the meeting be altered, hindered, or prevented by unexpected political or economic events, unpredictable forces of nature, speaker cancellations or other unforeseeable events.

Badges

Conference identification badges are mandatory and will be required for admission to all conference functions.

Certificate of Attendance

A removable certificate of attendance will be available in each abstract book.

Photographs

Each registrant grants the conference permission to photograph participants in any session, and to use such photographs and the names of attendees in any materials which either represent the proceedings of the conference or discuss future conferences.
